Introducing the Custom Barcodes feature in OneTap, a powerful feature that will enhance your attendance management process. With custom barcodes, you can create personalized passes, ensuring efficient and secure check-ins for your organization.

This article provides a comprehensive guide on how to get started, set up, and utilize custom barcodes effectively.

How to Setup (Admin Dashboard)


Import Barcodes from Excel:

  1. Visit the dashboard - https://dashboard.onetapcheckin.com and log in to your account.

  2. Prepare your Excel file with the necessary profile data, including a reserved column named "Barcode" for the barcode values.

  3. Feel free to download a template from here πŸ‘‡πŸΌ

    1. Advanced Template - has names, email addresses, & custom fields.

    2. Make sure to add a new field, "Barcode" to this template.

  4. Ensure that the barcode values in the Excel file comply with supported formats, such as EAN-8, EAN-13, UPC, Code 39, and Code 128.

  5. Click on the "Profiles" tab and select the "Upload Profiles" button

  6. Import the Excel file

  7. When in the preview mode, make sure to select the correct Barcode format.

How to upload barcodes to your OneTap Account

If you're unsure about the format of the barcodes assigned to profiles in your organization, you can either use a third-party "Barcode scanner" on your mobile device or scan the barcode by creating a pass for a profile, as discussed below.


Type "barcode Scanner" on the AppStore or Google Store to download a barcode scanner.

OneTap will automatically assign the barcode format for the scanned barcode

Manually create a barcode for a profile

  1. Navigate to the profiles tab on your account

  2. Choose a profile you wish to create a barcode pass for

  3. Scroll down on the profile details page to see passes and click on "View All"

  4. Click on create pass and select the barcode option

  5. Fill in the necessary details

    1. Select a Barcode Format for OneTap to assign a Barcode value to the profile

    2. Use the Barcode Scanner button to scan an existing barcode

How to Edit + Delete Barcodes

Profile Details β†’ β€œPasses” Section β†’ View All

  1. Users can perform the following operations on the pass

    1. Delete

    2. Share

    3. Revoke

  2. The edit option is not supported. The UID/barcode of a pass cannot be modified after creation.

How to Share Barcodes with Attendees

Admins can share the Barcode pass with the attendees via email.

Once the pass is received by the attendee, they can either save it on their Apple Wallet or save it as a picture.

Save your barcode pass to your apple wallet

Apple Wallet supports only CODE-128 format.



How to Check-in Attendees Using Custom Barcodes

Congratulations on Setting up barcodes for your attendees on your OneTap Account. Now let's discuss how you can use them πŸ˜ƒ

iOS App (Admin)

  1. Open OneTap iOS App on your iPhone or download it from here - https://apps.apple.com/us/app/onetap-check-in/id1280873534

  2. Navigate to the list you wish to check-in attendees to

  3. Click on the scanner button to enter the scanner mode

  4. Point towards the barcode to scan it

  5. Scan the barcode to check in and check out easily

iOS App (Self Check-in KIOSK)

  1. Click on the grid menu to access the KIOSK option

  2. Ask attendees to press the scanner button to scan their barcode pass and check in or check out.

  3. Click on the gear icon to customize the looks of your KIOSK or change settings on the go.

Quick Customizations - Tap to add avatar

  • Attendees can take a picture and directly upload it to their profile during check-ins

  • This keeps their profile pictures refreshed and makes things more interesting

Admin Dashboard

  1. Navigate to the list you wish to check-in attendees to

  2. Click on the "Pass Scanner" button to enter the scanner mode

  3. Point towards the barcode to scan it

  4. Scan the barcode to check in and check out easily


FAQs

My Barcode is not being detected

  • Sometimes the camera resolution is not good, please hold your barcode there for a while or try with a different angle.

I have Custom Barcode formats other than those supported right now.

Can I change the expiry date of a barcode pass?

  • Currently, there's no way to change the expiry date of the barcode pass. We wish to add this feature in the upcoming version.

Which one is better, Barcodes or QR codes?

  • This totally depends on your situation and preference. If, in your organization, attendees already have a barcode assigned to their IDs and you wish to import them to your OneTap account, Barcodes is a clear winner here.

Can I create a group of barcode passes just like QR passes?

  • This feature is coming soon!

Can I add a check-in note after scanning a Barcode for an attendee?

  • Yes! When on the profile details page after scanning the barcode pass, scroll to the bottom of the page to access the check-in notes section.

How do I change my Barcode

  • Admins can delete a previously assigned barcode and create a new one.
