How to Show a custom field during check-in/check-out( like: Room or Table Number During Check-In)

Many organizers want a message to pop up during check-in to tell attendees things like which room to go to or what table they are assigned to. You can do this using Surveys on the check-in flow.

What You Can Show During Check-In

You can display things like :

  • Room number (e.g., “Go to Room 203”)

  • Table number (e.g., “You are at Table 7”)

  • Zone or section (e.g., “Proceed to Shuttle Bay B”)

  • Simple instructions (e.g., “See the registration desk after check-in”)

This information appears directly on the attendee’s check-in screen using a Survey step.

Steps to set up for your List:-

1- Create a list and set the check-in/check-out method to survey depending on when you want to show the information

2- Once the list is created, click on the List option and then click on "Survey Builder"

3- Once you have the survey builder module, click on the ADD button.

4- Now you will be on add survey question screen

  • Under Question type, select "Information"

  • Now, in the Question Field type this character " [ " and select the column that you want to show to your attendees during check-in/check-out

  • In the Description field, you can add a message for your attendees, such as “Here is your assigned room for this event” or “Please proceed to the table shown above.”

Last Step: Test using the Public link

  • Open the Public link for your List.

  • Do a trial check-in to confirm that the selected column (room, table, etc.) appears correctly on the check-in screen.
