What does archiving a profile do?
Removes the profile from your active profile tabs & lists so it no longer appears in day‑to‑day searches and filters.
Keeps all data (contact info, custom fields, passes, and past check‑ins) stored in your account so you can reference it later.
Lets you unarchive or restore the profile in the future if you need to bring it back into your active lists.
Is ideal for former members, expired clients, or test data you no longer want to see but might still need for reporting or compliance.
When to archive vs delete
Use Archive when:
A member has paused or ended their relationship but you may need their check-in history later.
You want cleaner lists without losing any underlying data.
You might reactivate the person in the future.
Use Delete when:
A profile is a true mistake or duplicate you never need again.
You must remove data permanently for privacy or legal reasons.
You understand the action cannot be undone and related data will be removed.
You can explicitly note: “Deleting a profile is permanent and cannot be undone, while archiving is reversible and preserves data.”
Step‑by‑step: archive a single profile
You can adapt the exact labels below to match your current UI (“Profiles,” “People,” etc.).
1-Go to the Profiles Page from the top Navigation.
2- Find the profile you want to archive(Search by name, email or phone)
3- Right-click on the Profile and select the " Delete Profile " option from the dropdown
4- Once you see the new pop-up screen, click Archive.
A confirmation dialog will appear explaining that archiving hides the profile from active lists but keeps all associated data, check‑ins, passes, and activity history.
Confirm by clicking Archive.
Result: profile is archived
