Attendance Page

The Attendance page gives you a clear, flexible view of all participant check-ins across your lists. You can track attendance over time, filter by lists or profiles, customize columns, and export data for reporting.

This page helps you quickly answer:

  • Who attended and how often

  • Attendance trends over time

  • How to export attendance data for reporting



Understanding the Attendance Table

Each row represents a profile (participant) and shows attendance data based on your selected filters and date range.

Default Columns (What you see by default)

When you open the Attendance page for the first time, you’ll see:

  • Name – Participant name

  • Check-ins – Total number of check-ins for the selected date range

  • Date Columns – One column per day, week, or month (based on the selected view), showing attendance for each period

For example:

  • In Day view, each column represents a specific date

  • In Week view, each column represents a week

  • In Month view, each column represents a month

➡️ Date columns automatically adjust based on Day / Week / Month view


Getting Started: Set Up Attendance Sheet

Before you can start tracking attendance, you’ll need to complete 2 steps:

  1. Create a list

  2. Add profiles

  3. Choose how participants will check in

  4. Admin: Perform check-ins and check-outs


Step 1: Create a List

A list is required to start taking attendance.

  1. On the Attendance page, click the All Lists dropdown

  2. Select Create

  3. Enter a name for your list

  4. Choose:

    • Check-in method

    • Check-out method

  5. Click Create List

Once created, your list will appear in the list selector and is ready to use.


Step 2: Add Profiles

Profiles represent the people whose attendance you want to track.

Add Profiles Manually

  1. Click New Profile at the bottom-left corner

  2. Enter the required profile details

  3. Press Enter to save

  4. You’ll be prompted to add another profile if needed


Step 3: How Participants Check In

OneTap supports both admin-managed and participant self check-in.

Option 1: Public Check-In Link (QR Code)

Admins can share a public check-in link with participants.

  • Share the link or display the QR code

  • Participants scan the QR code using their phone

  • Participants complete the check-in themselves

This is ideal for events, classes, or locations where participants arrive independently.


Option 2: Web Kiosk Mode

Admins can also run a Web Kiosk on their system.

  • Open the Web Kiosk on your device

  • Participants walk up and check in directly on the screen

This works well for front desks, receptions, or staffed entry points.

Step 4: Admin Check-In & Check-Out from Attendance Page

Once your list and profiles are ready, you can start tracking attendance.

  1. Toggle the view from Summary to Check-in

  2. You’ll see checkboxes under each date column

  3. Click a checkbox to check in a profile

  4. Click the same checkbox again to check out the profile

➡️ Toggle from “Summary” to “Check-in”

➡️ Click the checkbox to check in or check out


Viewing Profile Details & Attendance History

To see more details about a specific profile:

  1. Right-click on the profile name

  2. Select View Details

  3. View profile information and attendance summary

  4. Switch to the History tab to see all check-in activity

Clicking on any history entry will show:

  • Check-in method used

  • Signature, photo, or survey (if captured)

➡️ Right-click a profile → View Details

➡️ Open the History tab to view detailed attendance records


Filtering Attendance Data

Filter by Lists

Use the All Lists dropdown to view attendance for:

  • One specific list

  • All lists combined

➡️ Click “All Lists” to select which list’s attendance you want to see


Filter by Profiles

Use All Profiles to narrow results to selected participants only.

➡️ Click “All Profiles” to filter attendance by specific profiles

Date Range Selector

Click the date range button to choose:

  • A custom date range

  • Preset ranges (e.g., Today, Yesterday, Last 10 days, Last month)

➡️ Click the date range selector to change the attendance period


View Modes

Switch between:

  • Day – Daily attendance breakdown

  • Week – Weekly summary

  • Month – Monthly overview

➡️ Use Day / Week / Month buttons to change how attendance is grouped


Customizing Your View

Columns

Click Columns to:

  • Show or hide specific columns

  • Focus only on the data you care about

➡️ Click “Columns” to customize which fields appear in the table


Filters

Use Filters to refine data further (e.g., by enrollment class, teacher, or company).

➡️ Click “Filters” to apply advanced attendance filters


Reset View

Click Reset view to clear all filters and return to the default layout.

➡️ Click “Reset view” to remove all filters and customizations


Exporting Attendance Data

To download attendance data:

  1. Click Export

  2. Your export will be queued and processed

  3. You’ll receive a notification when it’s ready

  4. Download the Excel (.xlsx) file from Notifications

➡️ Click “Export” to generate an attendance report

➡️ Download the file from the Notifications panel

Exports always respect the selected filters, date range, and view.


Empty State: “No Rows to Show”

If you see No Rows to Show, it usually means:

  • No check-ins happened in the selected date range

  • Filters are too restrictive

  • Selected lists or profiles have no attendance data

➡️ Try adjusting filters or expanding the date range


Best Practices

  • Use Week or Month view for trend analysis

  • Apply filters before exporting for cleaner reports

  • Customize columns to match your reporting needs
